Description:

Pag-asa Steel seeks an Executive Assistant who will be responsible for supporting high level executives and managers, and performing wide range of duties including clerical, administrative, research, and management roles.

Duties and Responsibilities:

  • Providing a wide range of administrative and confidential support functions, requiring broad and extensive knowledge of each executive’s schedule, and the company’s practices, policies, and procedures
  • Preparing and revising correspondence, communications, presentations and other documents
  • Arranging and coordinating meetings and events
  • Developing and implementing an effective records management system
  • Providing and monitoring supply of administrative and office supplies
  • Managing and coordinating special projects (e.g. business development, marketing, and human resource initiatives) as needed
  • Researching, collecting and analyzing data to prepare and create reports and other documents
  • Maintaining office filing system, and implementing effective records management system
  • Coordinating closely with all departments across the organization
  • Liaising directly with clients and suppliers
  • Recording, transcribing, and distributing minutes of the meetings as needed
  • Performing other related tasks that may be assigned by supervisor

Qualifications:

  • Bachelor’s Degree in Business Administration, or an equivalent combination of education and/or relevant prior experience
  • At least two (2) to three (3) years experience in providing support at a high level
  • Proven experience as an administrative assistant, senior executive assistant, or in other secretarial position a plus
  • Knowledge of standard office administrative and clerical practices and procedures
  • Knowledge of basic office management systems and procedures
  • Strong verbal and written communication skills
  • Strong analytical and problem-solving skills
  • Service orientation, outstanding interpersonal skills, as well as the ability to work independently
  • Project management, risk management, and time management skills
  • Ability to multi-task, adapt, and learn quickly
  • Superior organization skills and attention to detail
  • Proficiency in Microsoft Office (Excel, Powerpoint, Word) and email software mandatory, experience with ERP and reporting software a plus
  • Drive, motivation, and positive attitude (willingness to accept feedback, learn, and improve)
  • Integrity, excellence, professionalism, and teamwork
