Description: Perform general and secretarial functions assigned by the Associate and other lawyers, if necessary. Handle incoming and outgoing mails and follow up progress of delivery. Take dictation, transcribe, type and proofread documents. Arrange and confirm meetings and conferences. Make appointment reminders and indicate in corresponding calendars. Draft or prepare letters and response to routine correspondence. Share in the typing work of other secretaries. Maintain the daily time record of the associate lawyer, indicating the client/account number for appropriate billing. Maintain a systematic filing system. Maintain confidential office records and index cards or tickler files securely. Review files periodically (at least once a year). Close files as necessary. Remind associate lawyer of any pending matters. If the associate lawyer is not available, bring it to the attention of the partner in charge for appropriate action. Make folders of cases available for review of associate lawyer prior to scheduled hearing dates. Maintain personal records of lawyer in complete confidentiality. Maintain a clean and orderly work station area. Keep telephones, computers and other machines clean and serviceable at all times. Make travel arrangements for the associate lawyer. Prepare and follow up of bills of clients. Perform such other duties as may be assigned.
