Description: Supports the InfoSec Team in maintaining documented information security control processesfor the efficient management and recording of all ISMS and ISO27001 documentations.
Supports the InfoSec Team in maintaining documented information security control processesfor the efficient management and recording of all ISMS and ISO27001 documentations.
Duties and Responsibilities: Manage and distribute ISMS documents as needed Scan and upload documents according to company procedures Collect and register all technical documents such as process flows, diagrams, and technical documents in the company’s system Review and update documents for maintenance and quality control Keep other personnel updated on new document versions and how to obtain access Handle records across various departments Create templates for use by other personnel Maintain confidentiality regarding sensitive documents according to company classification guidelines Establish and maintain record retention timelines Ensure document management according to established procedures or standards (documents coding, formats, issuance, review, recording, monitoring, and archiving). Assign document change numbers and document codes Ensure that the document authors use correct document formats Routing of enrolled documents to relevant functions Ensure documents are disseminated to relevant functions by the document author Timely distribution of latest revision of documents to all appropriate users and ensure that obsolete documentation removed from the distribution Control and safekeeping of master copies of controlled documents Update and maintain a computer database of all filed documentation that ensures fast retrieval of documents. Update and maintain Documented Information Control master lists and log sheets Filing and organizing of records related to document control and records control procedure such as document issuance and retrieval, dissemination, document requests, and records disposal Filing and organizing obsolete master copies of controlled documents. Collect inactive records from departments and transferring to the retention room. Disposal of obsolete documents and records upon completion of the retention period. Control and maintenance of documents retention/archive room. Assist in the update of the manual, procedures, and work instructions as necessary. Responsible for the maintenance, issuance, retrieval, obsolescence, archiving, and disposal of security audits, vulnerability assessment and penetration test, 3rd party test results, external references, and other technical documents company operations.
Qualifications: Bachelor’s degree, Engineering in Information Communications Technology (ICT) Computer Science Information Technology or any related courses. Minimum of two years’ experience in a Document Controller role Information security background is a must, actual experience in ISO9001 is considered, and ISO27001 is preferred Excellent report writing and communication skills in English Knowledge of administrative and clerical procedures and systems such as MS Word, Excel, Outlook, and Projects. Excellent communication and organizational skills. Able to perform multiple tasks simultaneously.
